Non-Tenure Track Promotion Process

Criteria for Promotion
The primary unit must establish written criteria for promotion within the teaching professor track or clinical track, as appropriate to the unit. These should include criteria for teaching or librarianship, for service, and for other duties typically performed by teaching professor-track or clinical faculty in the unit. The College of Arts and Sciences has developed Primary Unit Criteria Templates for Reappointment and Promotion of Teaching-Stream (Non-Tenure-Track / Instructional Series) Faculty which the unit can use if the unit does not have its own.
The criteria for promotion from assistant teaching professor to associate teaching professor or from assistant professor, clinical teaching track to associate professor, clinical teaching track should include criteria for meeting the standard of “successful” in teaching or librarianship. Teaching “success” typically carries the expectation that the individual has made significant contributions to pedagogy, curriculum, and student learning, in the classroom and for the primary unit. Librarianship “success” typically carries the expectation that the individual has made significant contributions in the librarian role(s) occupied by the individual: for example, developing collections, providing intellectual and physical access to collections, library-related instruction, outreach to library users, management and supervision of staff or management of material and financial resources.
The criteria for promotion from associate teaching professor to full teaching professor or from associate professor, clinical teaching track to full professor, clinical teaching track should include criteria for a record of excellence. A “record of excellence” carries the expectation that the individual has made a major positive impact in the disciplinary unit (e.g., on pedagogy and curriculum) and on its students, typically one that extends to considerable impact at CU ֲý generally and a role in national or international discussions related to the individual’s focus of teaching or related to curriculum, librarianship or pedagogy.
Promotion Timeline
Per campus policy:
Promotion of non-tenure-track faculty on the teaching professor track or clinical track is not mandatory, nor is it a right. There is no requirement or expectation that promotion will occur at a particular point in the individual’s career, nor is there a requirement or expectation that each such individual should seek promotion. If an individual seeks promotion and is not approved, that decision has no implications for the individual’s current position and status, and that individual may be considered again for promotion at a later date. - Those holding the position of assistant teaching professor who have been successful teachers may be considered for promotion to the rank of associate teaching professor. Typically, consideration for promotion to this rank requires at least six years of continuous appointment at the rank of assistant teaching professor in a 50% or greater appointment. [V.B.5.b.]
- Those teaching professor-track faculty holding the position of associate teaching professor who have been excellent teachers and members of the university community may be considered for promotion to the rank of full teaching professor. Typically, consideration for promotion to this rank requires at least three years of continuous appointment at the rank of associate teaching professor in a 50% or greater appointment. [V.B.5.c.]
- Although teaching professor-track and clinical faculty members may, as a matter of convenience to them, seek promotion at the point of regular reappointment and contract renewal, they may seek promotion in any academic year after they have met the qualifications for length of service in rank and the primary unit criteria for promotion. In-Cycle Promotions
- Each April, CAS Faculty Affairs emails units a list of their non-tenure track Teaching/Clinical faculty up for reappointment review in the next academic year, and units review the list for any additions/deletions by the provided deadline. The unit is responsible for (1) determining which reappointment-eligible faculty are also eligible for promotion, and (2) including those seeking promotion on the unit's list.
- In compliance with the criteria for reappointment and promotion as outlined by the Office of Faculty Affairs, each non-tenure track faculty under reappointment review will complete and submit a reappointment dossier, per the .
- For faculty members undergoing reappointment and promotion simultaneously, all reappointment and promotion materials as indicated on the checklist must be included in the faculty member's dossier. This includes the chair's letter containing the faculty discussion and votes on reappointment and promotion, including applicable votes in each category of the evaluation formula (e.g., teaching and service). See ballot templates.
- As required in the , the Primary Unit Policies and Procedures for reappointment and promotion of Teaching / Clinical Faculty – including the approved criteria for reappointment and promotion – must be included in the completed dossier.
- Units check reappointment/promotion dossiers for completeness and submit all required dossiers by November 1 via the unit’s OneDrive folder or to CAS Faculty Affairs. Units should retain a copy of all submitted dossiers.
- CAS Faculty Affairs reviews the reappointment/promotion dossiers for completeness and forwards them to the appropriate Associate or Divisional Dean for review and recommendation.
- The Associate or Divisional Dean will provide recommendation of reappointment/promotion to CAS Faculty Affairs.
- CASFaculty Affairs Coordinators notify units via email when the reappointment/promotion has been processed. CAS Faculty Affairs Coordinators send the units a reappointment/promotion spreadsheet to complete and return. The information in this spreadsheet will then be mail merged to createthe draft offer letters, which will be submitted for final review and approval.
- Upon receipt of approval, the CAS Faculty Affairs Coordinator will route the reappointment/promotion packet for the appropriate signatures, copying the unit, Human Resources Service Center, and the A&S Budget Office. If any changes to the offer letter are needed after approval, units mustfill out an addendumform.
For 100% Appointments:
- CAS Faculty Affairs Coordinator will submit the draft offer letter to the Office of Faculty Affairs for review and approval.
- Once approved by the OFA, the CAS Faculty Affairs Coordinator routes offer letter for all signatures copying the unit, Human Resources Service Center (HRSC@colorado.edu), and the A&S Budget Office.
- Appointment entered in HCM (Human Resources software) by the Human Resources Service Center (HRSC).
For Less than 100% Appointments:
- CAS Faculty Affairs Coordinator routes offer letter for all signatures, copying the unit, Human Resources Service Center (HRSC@colorado.edu), and the A&S Budget Office.
- Appointment is entered in HCM by the HRSC.
Off-Cycle Promotions
- Units will submit all off-cycle promotion requests by November 1– the same time as all normal reappointment and in-cycle promotion dossiers are submitted.
- The unit can update and submit the faculty member’s most recent reappointment dossier with the inclusion of the additional materials as noted on the (e.g., new chair's letter, new PUEC Report, FCQ scores for all courses taught since reappointment dossier was submitted, etc.).
- Units check promotion dossiers for completeness and submit all dossiers by November 1 via the unit’s OneDrive folder or to CAS Faculty Affairs. Units should retain a copy of all submitted dossiers.
- CAS Faculty Affairs reviews the promotion dossiers for completeness and forwards them to the appropriate Associate or Divisional Dean for review and recommendation.
- The Associate or Divisional Dean will provide a recommendation of promotion to CAS Faculty Affairs.
- CASFaculty Affairs Coordinators notify units via email when the promotion has been approved.
- The unit generates and sends to CAS Faculty Affairs a draft Addendum, specifying the following changes to the faculty member’s most recent Letter of Offer:
- Job Title and Working Title (if applicable)
- Salary (if applicable)
- Please Note: an off-cycle promotion will not change the reappointment cycle. The end date of the original Letter of Offer will remain unchanged.
- Once received, the CAS Faculty Affairs Coordinator will review the draft Addendum for final review and approval.
- Upon approval, CAS Faculty Affairs Coordinator will route the Addendum for signatures, copying the unit, Human Resources Service Center (HRSC@colorado.edu), and the A&S Budget Office. If any changes are needed after approval, units mustfill out an addendumform.
For 100% Appointments:
- CAS Faculty Affairs Coordinator will submit the draft Addendum to the Office of Faculty Affairs for review and approval.
